Receptionist & HR Assistant

Human Resources -- CASTO Corporate Office

Assists the Office Support and Human Resources teams through administrative tasks and projects. Ensures effective communications both internally and externally to maintain a positive and professional image for the Company.

1. Deliver excellent customer service to all CASTO associates.
2. Develop and/or edit company communications including but not limited to: the weekly newsletter and PowerPoint, parking updates, street closures, building issues, holiday closures, area events, etc.
3. Provide and manage content and update the Intranet as needed.
4. Manage wellness communications and events.
5. Provide assistance to the Human Resource team.
a. Oversee associate perk program.
b. Electronically scan associate files.
c. Order and distribute monthly service awards and birthday

6. Open and prepare the office.
a. Prepare coffee for all, water and coffee for lobby.

7. Answer multi-line switchboard and direct calls to the appropriate individual. Check voicemails daily; forward appropriately.
8. Greet customers and other guests.
a. Sign for all deliveries, track, and route them to the
correct person.
b. Collect rent, write receipts and route to the correct

10. Ensure Cafe and Kitchenettes are tidy. Clean out the refrigerator monthly.

elevators/doors for holidays.

Staff Accountant

Accounting -- CASTO Corporate Office

POSITION: Staff Accountant
REPORTS TO: Senior Director, Property Accounting

BASIC FUNCTION: Responsible for providing accurate and timely financial information on a portfolio of commercial properties to enable Property Managers and Owners to make sound operational and financial decisions as well as coordinating administrative functions as required by the Property Accounting Division.

1. Conduct a monthly review and analysis of the balance sheets, income statements and cash flow reports on portfolio of properties.
2. Prepare variance analysis reports for each property in portfolio by the 20th of the month following end of each quarter, or as often as dictated by management agreement.
3. Prepare annual work papers, detailing account balances in accordance with sound accounting practices.
4. Provide necessary schedules from work papers to tax firm to assist in the tax return preparation. Answers questions as needed.
5. In conjunction with Asset Managers and Property Managers, prepares annual budgets for all properties in portfolio. Complete budgets according to the corporate budget calendar.
6. Annually review CAM, Real Estate Tax, and Insurance billings in a timely manner to facilitate billings per lease requirements and prepares "what if" analysis as required.
7. Review cash accounts and intercompany accounts routinely and supplies information regarding funding and cash needs to Owners. Ensure cash is available for operational needs.
8. Initiate distributions in accordance with Partnership Agreements, as required.
9. Provide support to Property Managers, Asset Managers and Owners in analyzing financial information.
10. Record new loans and refinances, supplies lenders with financial statements as required, reviews debt service ratios and analyze escrow balances and submit appropriate paperwork for reimbursement.
11. Maintain cash and accrual books, if required.
12. Review, approve and ensure timely payment of mortgages and real estate taxes.
13. Prepare documentation for lender in order to be reimbursed from escrows, as needed.
14. Review and prepare monthly reporting packages to outside owners.
15. Review invoices for proper coding.
16. Maintain fixed asset system for deferred assets.
17. Maintain a tracking system for the payment of annual and semi-annual real estate taxes.
18. Performs other job-related duties as assigned or required.

Maintenance Technician (Residential)

Maintenance -- Central Ohio


POSITION: Maintenance Technician (Residential)
REPORTS TO: Property Manager

The Maintenance Technician is primarily responsible for ensuring that the apartment community looks its very best at all times and operates smoothly by performing a variety of tasks including: electrical, light carpentry, HVAC, and plumbing. Maintenance Technicians diagnose problems, determine whether to replace or repair parts, test, and make adjustments until the problem is resolved. All work is to be completed in a timely manner, with true quality, and to the Property Manager's approval.

1. Check email (when clocking in and when clocking out)
2. Empty trash cans in office/clubhouse and all other common areas
3. Check light bulbs in office/clubhouse and all other common areas,
replace as needed
4. Walk entire grounds (pick up trash, pool area, models, office)
5. Update and verify Unit Status Report- review with manager/office
6. Update all logs daily (inventory, pool, snow) as needed
7. Check for new work orders 3-5 times daily in office
8. Prioritize and complete work orders as needed w/in 48-hour goal
9. Perform punch outs as needed-notify manager/office staff when
unit is move in ready
10. Turn in completed work orders every day
11. Check and run trash compactor several times a day (if applicable)
12. Building exterior check
13. Timesheet review, overtime analysis and documentation
14. Clean and organize maintenance shop
15. Walk property for safety and loss prevention
16. Order parts as needed
17. Verify outstanding work order list and update with manager
18. Schedule and oversee that all vendor work is completed
19. Ensure A/C turned off in summer and heat set at 60 in the winter
in vacant units
20. All make ready units completed in 5 days
21. Winter-snow removal-sidewalks as needed-Summer- water flowers as
22. Receive Exterior Light Inspection (from Resident Manager). Change
lights as necessary.
23. Make Monthly turn schedule
24. Create On-call schedule
25. Lease renewal inspections
26. Perform Preventative Maintenance (April and October)
27. Check safety equipment is current and in stock
28. Verify pool signs posted (Open and Closed)
29. Maintain seasonal equipment prior to using (working properly, gas
and oil)

31. Power-wash breezeways, buildings, siding, dumpsters etc.
