Human Resources Representative

Human Resources -- CASTO Corporate Office

BASIC FUNCTION:
This role takes on a variety of Human Resources functions including payroll and benefits, communications, events and wellness, and other initiatives.

MAJOR DUTIES AND RESPONSIBILITIES:
1. Draft communications for open enrollments, plan changes, and questions related to benefits
2. Coordinate benefit changes and resolve issues with insurance providers and brokers

Property Controller

Accounting -- CASTO Corporate Office

POSITION: Property Controller - Commercial
REPORTS TO: Manager, Property Accounting

BASIC FUNCTION: Responsible for providing accurate and timely financial information on a portfolio of commercial properties to enable Property Managers and Owners to make sound operational and financial decisions.

MAJOR DUTIES AND RESPONSIBILITIES:
1. Conduct a monthly review and analysis of the balance sheets, income statements and cash flow reports on portfolio of properties.
2. Prepare variance analysis reports for each property in portfolio by the 20th of the month following end of each quarter.
3. Prepare annual work papers, detailing account balances in accordance with sound accounting practices.
4. Provide necessary schedules from work papers to tax firm to assist in the tax return preparation. Answers questions as needed.
5. In conjunction with Asset Managers and Property Managers, prepares annual budgets for all properties in portfolio. Complete budgets according to the corporate budget calendar.
6. Annually review CAM, Real Estate Tax, and Insurance billings in a timely manner to facilitate billings per lease requirements and prepares "what if" analysis as required.
7. Review cash accounts and intercompany accounts routinely and supplies information regarding funding and cash needs to Owners. Ensure cash is available for operational needs.
8. Initiate distributions in accordance with Partnership Agreements, as required.
9. Provide support to Property Managers, Asset Managers and Owners in analyzing financial information.
10. Record new loans and refinances, supplies lenders with financial statements as required, reviews debt service ratios and analyze escrow balances and submit appropriate paperwork for reimbursement.
11. Maintain cash and accrual books.
12. Review, approve and ensure timely payment of mortgages and real estate taxes.
13. Prepare documentation for lender in order to be reimbursed from escrows, as needed.
14. Review and prepare monthly reporting packages to outside owners.
15. Review invoices for proper coding.
16. Maintain fixed asset system for deferred assets.
17. Maintain a tracking system for the payment of annual and semi-annual real estate taxes.
18. Performs other job-related duties as assigned or required.

Asset Manager (Residential/Multifamily)

Asset Management -- CASTO Corporate Office

BASIC FUNCTION: Oversee portfolio of multifamily properties with the goal of maximizing long term value and distributions for the owners. This will involve setting strategy for each asset and evaluating value creation opportunities which may involve activities such as leasing, financing, acquisition, disposition or redevelopment.

MAJOR DUTIES AND RESPONSIBILITIES:

1. Oversee financial performance of a portfolio of multifamily assets.
2. Understand a property’s strengths and weaknesses and implement strategies to create, maintain, and maximize value
3. Provide input for property management initiatives
4. Evaluate and recommend leasing strategies for assets
5. Act as a liaison between owners and management
6. Make recommendations regarding potential disposition or acquisition of assets and assist as liaison between owner and purchaser/seller
7. Communicate asset performance or potential performance to investors and management
8. Prepare, analyze and disseminate quarterly reports
9. Coordinate and review annual budgets to obtain owner approval
10. Assist in preparation and review of proformas as needed for new or proposed redevelopment properties
11. Advise and assist in major capital improvement projects
12. Assist in the generation of business plans for each property
13. Complete annual valuation of properties
14. Evaluate cashflow on a quarterly or annual basis and provide recommendations to owners related to distributions
15. Ensure that properties are compliant with loan requirements
16. Work with Joint Venture partners, as necessary, to collaborate on meeting each owner’s objectives for the property.
17. Coordinate with development and property management to maintain property brand and character
18. Conduct periodic site visits
19. Manage loan escrows
20. Stay current on multifamily trends and have an understanding market competition.


Knowledge, Skills and Personal Characteristics
1. Minimum of 5 years' experience in asset management or related field, with some experience in the multifamily industry
2. Demonstrate leadership, management ability and problem-solving skills
3. High degree of initiative
4. Able to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines
5. Degree in finance, accounting or real estate preferred
6. Ability to organize and setup processes and procedures

Maintenance Technician (Residential)

Maintenance -- Central Ohio

BASIC FUNCTION:
The Maintenance Technician is primarily responsible for ensuring that the apartment community looks its very best at all times and operates smoothly by performing a variety of tasks including: electrical, light carpentry, HVAC, and plumbing. Maintenance Technicians diagnose problems, determine whether to replace or repair parts, test, and make adjustments until the problem is resolved. All work is to be completed in a timely manner, with true quality, and to the Property Manager's approval.

MAJOR DUTIES AND RESPONSIBILITIES:
1.Perform "punch outs" and "turns".
2.Prioritize and complete work orders within 48-hours.
3.Read and interpret equipment manuals to perform required maintenance and service.
4.Empty trash and run trash compactor.
5.Check light bulbs and change lights as necessary.
6.Change Locks.
7.Walk entire grounds to ensure safety and cleanliness (pick up trash, pool area, models, office).
8.Schedule and oversee that all vendor work is completed and meets CASTO expectations of timeliness and quality.
9.Seasonal tasks, including but not limited to: balancing pool chemicals and snow removal.
10.Clean and organize maintenance shop; order parts as needed.
11.Update and verify Unit Status Reports.
12.Update all logs daily (inventory, pool, snow) as needed.
13.Make monthly turn schedule.
14.All other duties as assigned.

REQUIREMENTS:
1.Knowledge of basic on-the-job safety skills
2.HVAC Certification, preferred

MAJOR DUTIES AND RESPONSIBILITIES:
DAILY:
1. Greet all prospective residents in a friendly and professional manner.
2. Follow up with all prospects continually until they lease
3. Walk/sparkle target apartments, models, clubhouse, office's each morning
4. During pool season, walk pool area to straighten chairs and check condition
5. Enter all guest cards in MRI for each show
6. Reply to email leads within one-hour (goal)
7. Check leasing table each morning for supplies: guest cards, applications, business cards, price sheets, etc.
8. Update and copy price/specials sheets with manager approval
9. Complete applications and run credit reports on all prospects
10. Move residents in/out of MRI when scheduled
11. Print unit status and know what is available to rent
12. Walk and gift all rentals 24 hours prior to move in
13. Process applications within 24 hours and send move in cost sheet via email upon approval
14. Enter work orders
15. Hang balloons daily
16. Follow- up calls on guest cards
17. Send Thank You to all prospects
18. Notify residents of packages
19. Daily filing
20. Open and close office and models
21. Ensure a proper supply of refreshments is available to prospects and residents
22. Schedule and do lease signing within 3 days of approval

WEEKLY:
1. Assist manager in special projects
2. Call renewals and update renewal spreadsheet
3. Prepare paperwork and resident files
4. Inventory items needed in office and give to assistant manager
5. Update garage log and washer/dryer rentals
6. Send decline/conditional approval letter to applicants

MONTHLY:
1. Review the renewal residents with the manager
2. Notify renewals to come in and sign lease
3. Residential relations
4. Keep guest card box up to date
5. Brainstorm for new marketing and closing techniques
6. Market surveys
7. Send reminder notices to expiring resident who have not yet renewed for upcoming month

OTHER
1. Shop Competition quarterly and give report to Property Manager
2. Organize closets, flyers, brochures, and other office areas as needed
3. All other duties as assigned or requested.

REPORTS TO: Regional Manager

BASIC FUNCTION: The Property Manager is under the direct supervision of the Regional Property Manager and the Vice President. The Property Manager organizes, directs and coordinates the entire operation of the community to meet the owner's objectives which includes: maintaining an acceptable occupancy level, minimizing expenses to ensure that the property strives to stay in budget, maximizing income by enforcing the policies and procedures set forth by Casto, while simultaneously interacting with residents to fulfill their needs to ensure a high retention ratio, and overseeing a creating a positive team atmosphere which sets forth the foundation for a successful community.

MAJOR DUTIES AND RESPONSIBILITIES:
DAILY:
1. Drive property for inspection and liabilities
2. Review status report
3. Manage office and maintenance staff
4. Review and approve or decline applications
5. Address resident concerns, complaints and issues
6. Assist with prospects and leasing duties as needed
7. Review and brainstorm for marketing strategies
8. Complete MRI reports per monthly calendar
9. Focus on economic occupancy & minimizing concessions
10. Ensure that prospect follow up is being done daily

WEEKLY:
